Adding and Managing Ministry Accounts - Cru US

MPDX is designed to help local ministry teams build and maintain a team ministry partners. By creating a local ministry account, you can manage a group of designations for your ministry, maintain a list of partners towards your ministry, and track an extended history of your ministries MPD activity. Additionally, MPDX allows you to share your ministry account with other team members and volunteers to maintain your ministry partners and finances together.

In this article, you will find instructions on how to set up your ministry account, and start using it to track your local ministry partnership. 

If you need access to an existing ministry designation, please ask a team member to share access with you according to Sharing account access with your team.

Setting up a ministry account: Cru-US ministries only

The following instructions only work for ministries within Cru-US, including Cru Campus, AIA, FamilyLife, and other Cru-US organizations. These instructions will not, however, work for any ministry outside of Cru-US. For instructions on how to set up ministry accounts for all other organizations, Click Here.

To set up a ministry account in MPDX, the first thing you will want to do is collect the list of designations you want to have in the account. MPDX allows you to track and manage as many designations in one list as you choose.

Next you will need to email donation.services@cru.org and ask for a Ministry Profile to be created for you. You will need to provide them with the following information:

  • Name of the MPDX Profile, i.e., UH Campus Account (18 character maximum, and can be changed in MPDX later).
  • Staff name and Staff number of the person requesting the access to the profile (your info).
  • Ministry Designation number(s) to add to the profile (the account number).

Within 24-48 hours, you should see your new ministry account in MPDX, located in a dropdown in the upper right hand corner of the screen.

You will use this dropdown to switch between your personal MPDX account, and your ministry account. Make sure you have the proper account selected when managing contacts and tasks.

To change the name of your ministry account, go to Account Preferences and update the Account Name. This will make it easier to keep your accounts in order.

If you need to add a new designation to your account in the future, simply email Donation Services again, asking them to add the new designation to the existing Ministry Profile.

Note, if you request a change in the profile name from Donation Services, that WILL create a new Ministry Account in MPDX. Please ensure to always change ministry account names within MPDX preferences.

Sharing account access with your team

Accounts that are shared with others give them full access to all contacts, tasks, and donations for all designations within the account list. They will have the ability to see and edit all information you do within the ministry account.

Once you have a ministry account, you can share access with it to the fellow staff and volunteers with your ministry. This allows you to share the job of managing a newsletter list, prepare for fund development dinners, and send thank you's and other tasks.

To share your ministry account with others, simply do the following:

  1. Select your ministry account from the account dropdown in the upper right corner.
  2. Go to Manage Account Access within Settings | Manage Accounts.
  3. Enter the email attached to the MPDX account of the person you are granting access to.

You can share your account with as many people as you'd like.

If in the future, you need to remove access for someone, simply do the following:

  1. Select your ministry account from the account dropdown in the upper right corner.
  2. Go to Manage Account Access within Settings | Manage Accounts.
  3. Click the "Cancel" button next to the user whom you wish to remove access to.

If, sometime in the future, you move on from your current ministry, and wish to pass on your MPDX ministry account, follow the steps below:

  1. Select your ministry account from the account dropdown in the upper right corner.
  2. Go to Manage Account Access within Settings | Manage Accounts.
  3. Share account access with someone new from the team.
  4. Ask someone from the team to go to Settings | Manage Accounts, and remove you from having access to the Account List.

Switching between accounts

You will use this dropdown to switch between your personal MPDX account, and your ministry account. If you think you are missing contacts, tasks, or donations, first make sure you have the proper account selected here.


Managing multiple designations

Your ministry account can be made up of one designation, or many (there is no limit). You may have your primary operating designation, a fund development designation, and a scholarship fund designation. 

Note: These designations are created by your financial professional and are not able to be edited in MPDX.

MPDX keeps track of which partners have given to which designation, and allows you to filter Contacts, Tasks, and Reports to view only partners or donations to those specific accounts.

While personal staff account balances are displayed on the dashboard, ministry account balances are not displayed.

Contacts

Contacts allows you to filter your list by partners who have given to a specific designation. If a partner has given to multiple designations, MPDX will display them based on any designation given to that has been selected in filters.

You can select one or many designations here, and the list of contacts will be filtered accordingly.

Tasks

Similar to Contacts, Tasks allows you to filter your list of Tasks based on associated Partners who have given to a specific designation. If a partner has given to multiple designations, MPDX will display them based on any designation given to that has been selected in filters.

You can select one or many designations here, and the list of contacts will be filtered accordingly.

Reports

Reports in MPDX displays information based on individual gifts rather than contacts. The Reports page has a Designation filter in the top right that allows you to filter any of the pages based on a single or multiple designations.

By selecting Designations here, it will filter all pages to only show gifts to those specific Designations within the reports. You can select one or many Designations here, and the list of gifts or contacts will be filtered
