Manage Multiple Accounts
Manage Multiple Accounts
If you have donations coming from multiple countries and/or in multiple currencies, you will end up with multiple MPDX Accounts. For example, you may have donations coming from the United States, but you live and work in Mexico and also have local ministry partners giving contributions. MPDX will track donations in both currencies, but they will show up under different account names.
Step One: Know How to Select Different Accounts from Settings
To see a specific account:
- Visit Settings in the top right corner of MPDX
- Under the dropdown, choose between the Accounts listed. The account currently selected (i.e. “Staff Account CAD”) will be at the top of this list. NOTE: If you have more than four accounts, you may need to scroll down to see the rest of your listed accounts.
NOTE: If you have more than four accounts, you may need to scroll down to see the rest of your listed accounts.
Step Two: Manage Your MPDX Account Settings for Each Account
Personal Preferences apply to ALL accounts listed.
Account Preferences apply to each individual account.
Under Personal Preferences, you can choose different options such as:
- Language (Your default language for MPDX)
- Locale (Where you live. The locale determines how numbers, dates and other information are formatted.)
- Default Account (This sets which account you will land in whenever you login to MPDX).
- Time Zone (The time zone will be used in setting tasks, appointments, completion dates, etc. Please make sure it matches the one your computer is set to.)
- Hour to Send Notifications (MPDX can send you app notifications immediately or at a particular time each day. Please make sure your time zone is set correctly so this time matches your local time).
Under each individual account’s Account Preferences, you can choose different options such as:
- Account Name (You can change the account name in MPDX into something that is more identifiable to you. This will not change the account name with your organization.)
- Monthly Goal (This amount should be set to the amount your organization has determined is your target monthly goal. If you do not know, make your best guess for now. You can change it at any time.)
- Home Country (This should be the place from which you are living and sending out physical communications. This will be used in exports for mailing address information)
- Default Currency (This should be the place from which you are living and sending out physical communications. This will be used in exports for mailing address information. For example, the donations may be in CAD, but you want to see what they amount to in USD.)
- Primary Organization (This should be the organization from which you are paid and most likely corresponds to the country in which you are living and serving. This will set your currency of this organization both on the dashboard and the corresponding contribution reports.)
- Early Adopter (By checking this box, you are telling us that you’d like to test new features for bugs before they are rolled out to the full MPDX user base. We’ll send you an email when new features are available on your account to test, and then ask for you to give us feedback - both if you experience bugs and also about your thoughts about the feature(s) you are testing.)
- MPD Info (This should be set to the amount of new recurring commitments you expect to raise during the period set above. If you do not know, make your best guess for now. You can change it at any time).
Select the best options for each account and “Save” as you move between each dropdown menu.
Pay attention to Home Country vs. Locale. Home Country is an Account Preference, so it applies to an individual Account. Locale is a Personal Preference so it applies to all listed MPDX accounts:
- Home Country (This should be the place from which you are living and sending out physical communications. This will be used in exports for mailing address information)
- Locale (Where you live. The locale determines how numbers, dates, and other information are formatted.)
Setting this correctly can help you avoid confusion when adding ministry partner (i.e. Contact) information and when getting in touch with ministry partners.
Step Three: Decide whether or not to merge different accounts
For this example, we’ll consider whether or not to merge two personal accounts: “Non-HR Staff Account USD” and “Staff Account CAD.”
- “Non-HR Staff Account has information about US donor information, but no other donor information
- “Staff Account” has information about the account balance in the local currency (CAD), but does NOT contain the US donor information.
NOTE: *Ministry accounts cannot be merged with personal accounts* Personal accounts can only be merged with personal accounts.
Pros:
- You will only need to check one account instead of switching between accounts
- The donations in multiple currencies can appear in one report so you have a visual of each month’s total donations.
Cons:
- Your total account balance may not be accurate if the donations from different countries take different lengths of time to process
- If the same contact exists in multiple accounts, you will have to go through and merge duplicate contacts.
- Depending on which accounts you are merging, it may be difficult to select the best-fit options for your Account Settings.
Step Four: Merge Your Accounts
You can merge personal donation accounts (NOT ministry accounts, i.e. Organizations) from multiple countries into one account that shows donations in multiple currencies.
- Only merge Personal Donation Accounts, i.e., Staff Accounts.
- This merge will affect account access for all MPDX users who share this account.
- This merge cannot be undone.
- Do not merge ministry accounts (organizations).
- Select the Merging From account by clicking the drop-down arrow to the right.
- Next, select the Merging Into account.
- Click to check the “This account merge cannot be undone, I accept checkbox” and then click Merge.
NOTE: This can only be done through MPDX Web.
